About the Role
We're looking for a highly capable and proactive Executive Administrator based in Sydney to support our CEO and provide some assistance to other members of the Leadership Team. This role requires someone who can operate independently, think strategically, and move quickly.
You'll manage the CEO’s day-to-day priorities while also providing support to our leadership team and providing light office management. Our Founder and CEO is creative and very sharp technically, you would come in to support and guide him through business priorities.
You’ll thrive here if you're comfortable and energised by working in ambiguity, confident in making decisions with limited direction, and skilled at navigating a fast-moving, evolving environment. Strong knowledge of traditional office application, and a willingness and a propensity to adopt new technologies, including AI.
CEO Support
- Serve as a strategic and administrative partner to the CEO—managing scheduling, inbox, travel, and daily priorities.
- Help the CEO stay focused on what matters most by anticipating needs and taking initiative - act as a gatekeeper for the CEO’s time, prioritising competing demands and requests
- Understand the team dynamics:
- Assist in managing team PTO (incl alignment, comms, approvals)
- Ensure regularly communication flows (1:1 meetings, performance management, feedback loops)
- Prepare agendas, actively track follow-ups, and ensure follow-through on key items.
- Draft, review, or organise key documents, presentations, and communications.
- Manage, co-ordinate & book CEO travel
- Manage Board logistics including scheduling of board meetings (typically quarterly) and dinners. Build relations with board member EAs as required to ensure an effective process.
Leadership Team Assistance
- Provide EA support for the Chief Revenue Officer in respect of diary management, travel bookings and team co-ordination.
- Ad hoc diary management for the Chief Financial Officer
- Help coordinate in-person meetings or leadership events as needed (often in collaboration with the COO).
- Be prepared to pitch in and help other Leadership Team members as required, capacity permitting
Office Management Support
- Oversee day-to-day operations of our Sydney office, including stocking supplies and coordinating any facility needs. Working with our facility Stone and Chalk managing onboarding new hires into the office.
- Implement and plan alongside our People Experience Team monthly socials in the office driving both engagement and fun.
- Leverage our facilities to drive team building, wellbeing, and collaboration among our Sydney based employees and visitors.
- Act as the go-to contact for employees with office-related needs or questions.
- Support to LT members for tasks like travel booking and meeting coordination.
- Diary support for our CRO/CFTO
- Help coordinate in-person meetings or leadership events as needed.
What you’ll bring;
- 5+ years in a Senior Executive Assistant, Administrator, Office Manager, or similar role.
- Proven ability to work autonomously and adapt in a dynamic environment.
- High level of discretion, organisation, and attention to detail.
- Strong written and verbal communication skills.
- A sense of ease and curious collaboration across the organisation.
- Based in Sydney, with flexibility to work from the office several times throughout the month
- Familiarity with Google Workspace, Slack, Canva, & Monday.com. Knowledge with Jira and Confluence, and knowledge of key AI tools such as ChatGPT is a plus!
