The Executive Briefing Center (EBC) Specialist provides cross-functional support for the Executive Briefing Center Program with locations in Denver, CO and Kansas City, KS and a fully virtual offering via Zoom. Optiv’s Executive Briefing Center Program is comprised of purpose-built centers that host white glove engagements for clients, delivering professionally produced content, leading-edge industry insights, and relationship building opportunities. This position also supports internal planning efforts and event execution to drive strategy for the Optiv Client Advisory Board (CAB). This program consists of leading internal steering committee calls, aligning activities with business objectives, planning virtual and off-site events, and serving as the point of contact internally and externally for any CAB needs.

How you'll make an impact

  • Partner with internal contacts to schedule and prepare for Executive Briefings and Client Advisory Board events including: Optiv Executive Leadership, Sales, Services, Administrative Support, Facilities, Travel, Creative Marketing and the Information Technology team.
  • Manage EBC Team’s communication alias and programmatic event calendar including Kansas City’s Briefing Center, Denver’s Briefing Center, Virtual Executive Briefings and Client Advisory Board meetings and events
  • Qualify, manage and track incoming EBC requests via Salesforce, secure approvals, provide event availability and answer general inquiries of Optiv Sales Teams. Collect account information and schedule Kick off planning calls as well as pre and post meetings
  • Create and distribute client communications including EBC invitation, client welcome message, and post-event thank you communications containing Brand-approved EBC deliverables
  • Coordinate event materials and logistics including visitor registration, badges, tent cards, client-facing collateral, client gifts, IT support, catering deliveries, dining reservations, and special events
  • Partner with the Travel Department to coordinate client transportation, lodging, and special event needs
  • Partner with local restaurant, hotel, catering, and event vendors to curate positive relationships to leverage for client engagements
  • Drive Marketing-approved brand review of all PowerPoint presentation materials prior to each executive briefing
  • Manage day-of, on-site logistical support throughout executive briefing experience. Take notes as needed. Ensure seamless briefing experience for clients and other attendees
  • Facilitate post-event and ROI reporting. – Compile, analyze and manage reporting of all significant metrics for the center, including usage statistics, evaluation scores, internal and external customer feedback
  • Manage and integrate customized content onto client portal, Nexus, including agenda, speaker bios, event details, feedback surveys and briefing deliverables
  • Track pre/post event reporting on platforms including WorkFront, Marketo, and NetSuite.
  • Develop and deliver internal presentations to new hires and periodically to sales teams to educate employees and extend program’s reach
  • Support planning and logistics for Optiv’s Client Advisory Board, including reoccurring virtual meeting planning and support, custom client gift creation, client data tracking, survey engagement reporting, and budget management for large scale annual in-person retreat.
  • Support CAB engagements including internal prep meetings, content, managing breakout sessions, note taking, and distributing deliverables post engagement
  • Execute annual in-person CAB event and manage on-site logistics and ensuring a positive client experience
  • Curate custom, high-end client gifts for EBCs and Client Advisory Board events while maintaining annual programmatic budget
  • Promote Executive Briefings across Optiv by presenting to Regional Sales groups and new hire onboarding trainings
  • Attain membership to the Association of Briefing Program Managers and attend annual educational conference
  • Document and update EBC policies and procedures
  • Attend annual company Kick Off event to provide on-site support and pre planning tasks
  • Perform other duties as assigned

What we're looking for

  • Bachelor’s Degree from four-year college or university in Business, Communications or a related field of study or four or more years of related experience required
  • 2 or more years of internal/external events management or briefing center experience required
  • Past success in executive briefings, sales meetings, trade shows, internal company wide meetings and/or promotional events preferred
  • Display a professional appearance and manner
  • Availability to work flexible work schedule as needed
  • Ability to multi-task in a demanding fast paced environment with limited support
  • Excellent communication and presentation skills. Must be able to demonstrate these skills to various audiences, including executive-level
  • High level of organizational skills and strong attention to detail required
  • Strong coordination and problem-solving skills required
  • Demonstrated ability to handle confidential information with discretion required
  • Ability to understand information security concepts and industry as well as Optiv’s value proposition required
  • Successful experience conducting meetings and briefings with Zoom, WebEx, and Live Meeting tools required
  • Previous experience with CRM Tools (Marketo, NetSuite, Workfront) and client portal software (Nexus); Salesforce.com experience highly valuable
  • Ability to operate audiovisual technology and presentation software required
  • Strong computer skills, including proficiency with internet navigation and MS Office Suite, required
  • EBC Kitchen cleaning and management during in office EBC and CAB meetings

Salary Range Description

$59,700.00 - $80,000.00 Annual

The Hiring Range provided for this role is informed by (but not limited to) various factors including responsibilities of the position, work experience, education/training, internal peer equity, geography, as well as other market influences when extending an offer. The disclosed range has not been adjusted for these factors. This role may also be eligible to participate in a variable incentive-based bonus plan. Optiv offers a comprehensive compensation and benefits package, of which salary is a component.
